Accounts Payable Officer

Location: Clark

Schedule: Monday – Friday

About the role ….

  • Daily processing of payable bank accounts bank accounts and monthly reconciliations.
  • Processing purchase invoices through purchase orders and work orders in simpro, our job management system and processing all invoices via ezzybills in to xero, our accounting system.
  • Weekly processing and reconciliation of credit card invoices including:
  • Chasing up of employee invoices internally (including phone calls to employees)
  • Calling suppliers to obtain purchase invoices.
  • Weekly reporting individually to employees with credit cards of all outstanding invoices.
  • Handle incoming calls through the 3CX phone system from customers, suppliers, and internal team members, providing timely and professional support.
  • Weekly review of credit limits on our WEX and bunnings accounts.
  • Management and prompt response of 3 x Accounts Payable mailboxes.
  • Weekly supplier reconciliations and prompt processing of all outstanding invoices.
  • Liaising directly with suppliers to resolve queries, including missing invoices, credit notes, and reconciliation discrepancies in a timely and professional manner.
  • Setting up and processing supplier payments on a weekly basis
  • Preparing payment batches for approval.
  • Monthly reconciliations of outstanding purchase orders on simpro.
  • Month end reconciliations.
  • General ledger maintenance and reconciliations.
  • Recognising discrepancies and inconsistencies in accounts payable records and solving them.
  • Using your time management skills to meet deadlines.
  • Cross-train with the Bookkeeper to provide reasonable coverage during leave or peak workloads, ensuring continuity of the work of the accounts team.
  • Adhoc duties as and when required.

About you ….

We are looking for an A-star individual, passionate and competent with what they do and bringing the WOW with the following qualifications:

  • With minimum of 3 years total working experience
  • AU experience is desirable but not essential
  • Personal qualities & behavioural traits
    • Professional ‘can do’ attitude
    • Accounts payable experience
    • Proficiency in word, excel and outlook
    • Experience in Xero accounting system
    • Excellent communication and interpersonal skills
    • Strong attention to detail and ability to prioritise workloads
    • Self-starter with a strong focus on delivering high value results
    • Can work unsupervised
    • Ability to work under pressure and meet deadlines
    • Proven organisation and time management skills
    • Flexible and collaborative, willing to broaden skills to support other finance functions when required.
